Reporting to the President and CEO, the Executive Assistant to the CEO will provide high-level administrative functions in support of the daily operations of the organization. The Executive Administrative Assistant to the CEO will interact with senior leaders, associates, and board members in a professional, efficient, and friendly manner. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism, confidentiality and in a manner that reflects positively on the organization.

Salary range: $75,000 - $85,000

Work environment: This is a hybrid work situation where you will split your time working remotely and in-office as needed. Candidates must reside in the Tampa area.

Responsibilities/Duties include:

  • Maintain CEO's calendar by planning and scheduling meetings, conferences, teleconferences, and travel
  • Read and analyze incoming communications to determine importance and distribute contents appropriately
  • Prepare responses to emails, draft memos and prepare communications
  • Drive planning and coordination of board and executive team, and all-staff meetings and events
  • Provides on-site administrative support at meetings and events
  • Establish and maintain detailed calendars and timelines of activities, due dates, and schedules
  • Manage communications, documentation and relations with Board of Directors
  • Secure and manage supplies, equipment, and other items as required
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping
  • Manage and work closely with the other administrative assistants and set goals for performance and deadlines in ways that comply with company's plans and vision
  • Coordinate and assist with onboarding of senior staff
  • Performs other related duties as assigned
  • Travel up to 10%

    Education and Experience requirements:

    • High school diploma required, Bachelors degree in Business Administration or related field preferred
    • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives
    • Self-starter with ability to manage multiple priorities and make sound judgment calls when needed
    • Commitment to excellence and demonstrated ability to perform duties at the highest level possible
    • Demonstrated service mindset and ability to maintain effective relationships
    • Excellent written and verbal communication skills and able to interact with people of all levels in a confident, professional manner
    • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    • Demonstrated ability and temperament to work with sensitive information
    • Team-oriented experience and approach
    • Excellent organizational skills and attention to detail
    • Excellent time management skills with a proven ability to meet deadlines
    • Ability to function well in a high-paced environment
